Policies & Procedures
I. Program Expectations
Group class and coaching sessions
The class will be hosted each week over a Zoom conference call. You will receive an email invite closer to the date instructing you how to dial. Please do dial in on time.
Technical requirements for class - you can dial in by phone or using a computer. Zoom allows us to use video conferencing so feel free to turn on your WebCam as you feel comfortable as well.
Please find a quiet, private place for the call as we may be diving into some deeper topics! You will also want to be able to sit comfortablLY for certain meditations and exercise. For your safety, please do not dial into the call while driving or operating machinery.
In the first half of each call, we will cover a topic/challenge faced by the group & also do some exercise. In the second half, a group member will be coached individually. I will ask for sign ups on topics closer to the first week.
Before each session, it’s helpful to think of the following:
- How would you like to show up to each coaching session?
- Before each session ask yourself the following. It’ll make your learning and focus much more effective. : What would you like to take away from this particular call?
Accountability partner expectations (optional)
You have the option to be partnered with an accountability partner during the 8 weeks. As partners, you will share your weekly commitments, "homeplay," and check in with each other so that you stay accountable to your goals. You should expect to communicate at least 1x per week via email/text message. You are also welcome to schedule additional phone calls and other conversations as desired so you can share the journey together.
Select a journal/notebook for the coaching
We will be using this journal for your daily reflections, food journaling, and to respond to other journal prompts. Before the program starts, please find one that speaks to you! Lastly, find a home for it so that you will begin to use the journal for your daily reflections and journal entries.
You will also want to have your journal handy for taking notes during our group calls.
Set time for weekly "homesplay" and experiments
Each week you will have some homeplay and experiments to help build awareness and action, including listening to audio or video recordings and and completing certain journal entries. Each week keep in mind that you will need to make space in your schedule for these assignments and the ones you decide to take on for yourself. You do not need to make any changes to your schedule quite yet but keep in mind also that as this program continues you may need to make space in your calendar for new habits, such as working out or cooking healthy food.
Remember to have fun!
Lasting change and transformation is a journey, not a sprint. The goal of this program is to explore and build awareness. I invite you to think of the whole program as an experiment for the next 8 weeks. Nothing is set in stone and at the end, only you get to decide what to take forward.

Please note that service provided is coaching, which is not advice, therapy, nor counseling and may address specific personal projects, business successes or general conditions in the client’s life or profession. Coaching is a designed alliance that helps bring out the best in the client and helps the client create and live the life they want to live.
The information provided during the FBL Program is not intended or implied to be a substitute for professional medical advice, diagnosis or treatment. You are encouraged to confirm any information obtained from or through the program and in your own research and review all information regarding any medical condition or treatment with your physician. NEVER DISREGARD PROFESSIONAL MEDICAL ADVICE OR DELAY SEEKING MEDICAL TREATMENT AS A RESULT OF THIS PROGRAM.
III. Importance of confidentiality
Confidentiality is key to the success of this program. This includes trust between the coach and clients and within the group as a whole especially as there may be sensitive topics discussed. I therefore promise to the group clients that all information shared in sessions is kept strictly confidential as allowed by law. Clients can count on the me as the coach to be honest and straightforward in asking questions and making requests. The client understands that the power of the coaching relationship can only be granted by the client. If you believe that coaching is not working as desired, you also agree to immediately communicate with me so that can both take action to remedy the situation.
By signing this agreement, you are also agreeing to keep all information shared in the group sessions as confidential.
IV. Recording of Sessions
All sessions will be recorded as reference material for the group members to review previous information and/or catch up in the class. I also also may use parts of recordings as part of future campaigns and class materials. Please let me know if you have any particular concerns with what is recorded and shared.
V. Cancellation and No Show Policy
If you must miss a class, please email me at firstname.lastname@example.org immediately so we can discuss make up. The power of this group lies in the support system - so you play an important part in keeping up the energy and cohesiveness of the group. All sessions will also be recorded for group members to make up any days they have missed.
Should something come up that the program is not a good fit, the following refund policy will be allowed (update for Founding Member Class - Sept 2017):
Before Week 1’s class – 75% refund
Before week 3 – 50% refund
After Week 3’s class -- No refunds will be granted
VI. Referrals to different modality
Should I sense a referral to a different modality (e.g. therapy) or another coach be helpful for you, I will honor my ethical obligation to share this information. As the client, please do not take offense, as this information will only be shared in your best interested.
VII. Contact Information Release to the ICF
By signing this agreement, you are also allowing me to provide your contact information (phone & email) to the International Coaching Federation should the organization need verify the number of paid/pro bono coaching hours obtained through the coaching relationship. Please be assured the information will not be use for purposes other than verification of coaching hours.
I, <Client's name> , have reviewed and understood all policies and procedures above.
I, <Client's name> , hereby certify that I do not suffer from any physical or mental disability that might affect my participation in the coaching process, and, if I have any substance abuse problem or mental illness, I have consulted with my physican and other health care professional and been advised that I may participate in the coaching process without risk. I agree that if there is any change in this representation, I will promptly advise the coach.
I agree that, in the event if any claim or grievance by me against Coaching with Keia, LLC by sole remedy will be the return of the fees paid to Coaching with Keia, LLC as defined in section III: Cancellation and No Show policy. Coaching with Keia, LLC is not responsible for any direct, indirect, incidental or consequential damages beyond the total amount of fees paid by the client.
I understand that this document contains all of the information given to me by Coaching with Keia, LLC and all other representations or statements (prior or subsequent, whether oral or written) are superseded by this document.
